System Objectives
Currently assistance reports and time spent are provided weekly by the Executive Directors of each of the 39 local Programs to the National Office, which uses these reports to provide statistics to the board of directors, donors, for promotional purposes, and provide feedback and guidance to the local offices. The data is currently gathered manually through email and spreadsheets, and not always consistently. Gaps in the data can cause problems, show erroneous trends, and potentially affect decision making.
There are two types of data collected:
1. Program volunteer hours spent by position (essentially a task since some volunteers where multiple hats) by program by timeframe. For example, 10 hours spent in Third week of August, 2007 by the Phoenix Program on Volunteer Training.
2. Program support services provided by program by service by timeframe. For example, 32 Kids Provided with a Food Box in the Third week in August, 2007 by the Phoenix Program.
The goal is to create an on-line, password protected system that utilizes peer pressure to have timely and accurate reporting to a central repository.
Assuming a September 1st kick off, the goal is to have a the following deadlines:
Sept 7th: Prototype and/or sample screen designs.
Sept 21st: System enters testing.
Oct 1st: System goes into Beta for User Acceptance Testing (UAT).
Oct 12th: System goes live, but is optional for local program Executive Directors.
Jan 1st, 2007: System becomes mandatory for all program.
These deadlines are subject to feedback from development staff.
